10. Repair Booking and Service Records
When you submit a repair request, we collect the information you enter into the booking form. This may include:
- Your name, email address, telephone number and preferred contact method
- The printer manufacturer, model, serial number, purchase information and warranty position
- The reported fault, error messages, previous repair attempts, modifications and requested service
- Your preferred drop-off date and parts arrangement
- The date and time at which you accepted the required diagnostic, approval, parts and privacy acknowledgements
- Repair status, communications, diagnostic findings and internal service notes created while administering the request
Please do not enter account passwords, payment-card details or unrelated sensitive personal information into the symptoms or notes fields.
11. How Repair Information Is Used
We use repair information to:
- Review your request and contact you about safe troubleshooting, diagnosis, drop-off and collection
- Identify the printer and assess warranty, compatibility, parts and repair requirements
- Prepare diagnostic reports, estimates and service records
- Record your approval or refusal of proposed parts and additional labour
- Provide customer service, handle complaints and establish or defend legal claims where necessary
- Meet accounting, tax, safety and other legal obligations
The principal lawful bases are taking steps at your request before entering into a service contract, performance of that contract, compliance with legal obligations and our legitimate interests in administering and protecting the repair service. Consent is used where specifically requested and may be withdrawn where consent is the applicable basis.
12. Repair Notifications
The booking system stores your request in the private Uni3Dverse Repair Manager and attempts to send a notification to Uni3Dverse and an acknowledgement to your supplied email address. Service emails concern the requested repair and are not marketing messages.
13. Repair Data Sharing
Repair data is hosted using our website and database provider and may be processed by our email provider. Where reasonably necessary to obtain genuine parts or administer a warranty claim, relevant printer, fault and purchase information may be shared with the applicable manufacturer, authorised supplier or retailer. We will not provide more personal information than is reasonably necessary for that purpose. We do not sell repair-booking information.
14. Repair Record Retention
Unaccepted or abandoned repair enquiries will normally be deleted or anonymised within 12 months after the last contact. Completed repair, transaction, warranty and accounting records may be retained for up to six years where reasonably necessary for accounting, warranty, complaint handling or legal-claim purposes. Information will be deleted or anonymised sooner where it is no longer required, unless a legal obligation or active dispute requires continued retention. Retention periods are reviewed periodically.
15. Repair Data Security and Your Rights
Repair requests are held in a restricted administrative system. Access is limited to authorised users. Your rights described in section 8 also apply to repair-booking information, subject to lawful retention requirements. Contact info@uni3dverse.co.uk to exercise those rights or ask how your repair information is being used.
